University application document checklist

Prepare the documents your chosen university and application route request. Confirm the required evidence, language, format and file-size limit before scanning, combining or uploading anything.

What documents will I need?

Requirements vary by course and applicant. Check the official course page and admissions instructions for qualification certificates, transcripts, English-language evidence, references, a portfolio or other supporting material. Use a checklist for each application; a document accepted by one university may not meet another’s requirements.

For 2027 entry, UCAS provides an optional supporting-document upload facility for relevant evidence. Uploading documents does not replace completing the application itself. Follow the current UCAS document-upload instructions, including its file limits and rules about changes after submission.

Six checks before uploading

  1. Match the request. Record which document belongs to which course, intake and application portal.
  2. Keep the original. Work on a copy. Do not edit qualifications, grades, stamps, signatures or other evidence.
  3. Check language requirements. Ask admissions whether translations must be certified and whether the original must accompany them.
  4. Check the format. Use separate files when separate upload fields are provided. Only merge documents when instructed.
  5. Check legibility and size. Open every page at full size. Inspect names, marks, dates, seals, page edges and orientation.
  6. Submit through the official route. Confirm the correct recipient and save the portal’s receipt or confirmation.

Prepare files privately

These tools run in your browser without uploading your documents. They do not certify evidence, add OCR or guarantee acceptance. Avoid modifying signed or interactive forms. A smaller PDF is not an improvement if essential detail becomes unreadable.

International and postgraduate applications

Ask the university how it assesses your particular qualification and which translations or English-language evidence it accepts. Start with our entry requirements guide and country guides, then obtain a course-specific answer from admissions. Keep admissions evidence separate from any immigration or funding document checklist.

Postgraduate supporting documents are especially course-dependent. Oxford’s graduate supporting-document requirements illustrate why applicants should check the individual course and contact admissions if an upload fails.

Common questions

Should I combine my transcript and certificate?

Only if the receiving portal or admissions team requests that arrangement. Separate upload fields usually need separate files.

Does a PDF need searchable text?

Follow the receiving organisation’s requirements. A scan may contain no extractable text but still be readable; text detection alone cannot determine acceptance.

Can CourseToJob submit or verify my documents?

No. Use the official application portal. Our tools help prepare files and do not verify qualifications, certify translations or make admissions decisions.
