Make the file parseable: one column, standard headings, real words instead of icons, contact details in the body. Then write for a human. Skip this page if you are handing a paper CV to a shop manager — they are not running Workday on the till.
Other situations: Not for academic CVs that must keep a publications list in a faculty template, or creative portfolios where the brief asks for a designed PDF the art director will open by hand.
What is an ATS, in practice?
An applicant tracking system is a database with a search box. Employers use it to store applications, filter by knockout questions, and find CVs later. It is not a sentient ranking engine. If your PDF extracts as garbage, the recruiter’s search will not find you.
We do not repeat the viral “98% of Fortune 500” statistic. It is the wrong country for this guide and is usually unsourced. UK reality is simpler: NHS Jobs, Civil Service Jobs, Workday, Greenhouse and similar tools are common in larger organisations. Independent shops may never use one.

Which formatting rules actually matter?
Single column, standard headings, a common font, no essential text in images or headers, and dates as month plus year. Save a text-based PDF. Those five beat colour, icons and “creative” section names. If the builder offers a sidebar, know you are trading parse-safety for looks.
- Headings: Work experience, Education, Skills — not “My story”.
- Fonts: Arial, Calibri, Georgia, or the system default. Skill bars are decoration; type the skill.
- Columns: one for applications; two only when a human will print the file and the advert is not an ATS form.
- Headers/footers: some parsers skip them — put email in the body.
- File type: PDF unless the form demands DOCX.

How should you use keywords without stuffing?
Copy the advert’s skill names into sentences about your work, once or twice each. If you do not have the skill, do not invent it. A keyword overlap score is a gap list, not a grade to maximise. Stuffing “stakeholder engagement” six times is visible to humans.

How can you test whether a CV will parse?
Copy all text out of the PDF into a plain text file. If the order is jumbled, dates sit in the skills list, or the email is missing, a parser will struggle. Our on-page checker flags missing sections; it cannot certify a vendor’s engine. That limitation is the point — do not trust a perfect score.
Open the PDF, select all, paste into Notes. You should see name, email, headings and bullets in a sensible order. If you see empty boxes, that is the ATS view.

When should you ignore ATS advice?
Ignore most of it for a printed CV handed to a local manager, a speculative email to a founder, or a design role that asked for a designed PDF. Those readers are human-first. Keep the content honest either way — a parseable lie is still a lie.
If the application is a form with separate boxes for each job, the CV file may only be an attachment. Fill the boxes with the same facts; do not assume the parser will repair a mismatch between form and PDF.
Which UK systems should you actually design for?
Design for extractable text, not for a named vendor. NHS Jobs, Civil Service Jobs, Workday, Greenhouse and similar tools all need selectable words. We have not reverse-engineered any of them. If a recruiter can copy your email and job titles out of the PDF, you have done the ATS job. Vendor-specific “hacks” go stale; extractable text does not.
Independent retailers, cafés and small agencies often never run an ATS. Handing them a two-column infographic can still work if a human asked for it. The same file uploaded to a trust or a graduate scheme is a different artefact. Match the channel, not a LinkedIn myth.

What can a builder’s ATS check actually tell you?
Our checker flags missing sections, odd headings and overlap with a pasted advert. It cannot certify Workday, Greenhouse or NHS Jobs. A green score means the file looks parseable and the words overlap. It is not a prediction of hire. Compare missing terms with the essential and desirable criteria, not as a prompt to invent skills.
If a tool promises “you will beat the ATS”, skip the tool. Software stores files; people shortlist. The expensive failure is an empty parse (email missing, dates in the skills rail). The cheap failure is a keyword dump a human laughs at. Fix the empty parse first, then write evidence.
